Captiwate vs Calendly

Skip the waiting room. Talk now.

A booking link is a polite way of saying “not now”: the visitor picks a slot, leaves, and you hope they show up. Captiwate turns the visit into the meeting — see who is on your site, start a live video call while they are still there, and fall back to one-click booking only when now is not an option.

Why choose Captiwate?

Meet the moment, not the calendar

Interest peaks while the prospect is on your pricing page. A booking link moves the conversation to next week; Captiwate lets a rep join live on video or chat while the intent is real.

Know who you are talking to

Captiwate identifies the company and person behind the visit — and their intent — before anyone clicks. Calendly learns who the invitee is when they fill in the booking form.

Booking is included, not the product

Scheduling and Click-to-Meet, Google Calendar and Outlook sync and automatic reminders come with every Captiwate plan — customers see 60% fewer no-shows with one-click booking. You do not need a second tool for the calendar.

Customer story · Salesforge

“One thing that should get any business excited about Captiwate is when there is a call coming from a visitor. A user is calling the website — that is pretty cool, and that is the dopamine hit.”

Frequently asked questions

Isn’t a Calendly link enough for inbound?

For many teams it is a fine fallback — and Captiwate includes one-click scheduling with calendar sync for exactly that case. The difference is what happens first. With a link, the visitor leaves and you wait for the slot. With Captiwate, a rep sees the company on the page and can start a live video or chat conversation immediately; booking is the backup, not the default.

Does Captiwate replace Calendly?

For website-driven sales meetings, yes: Scheduling and Click-to-Meet, Google Calendar and Outlook sync and automatic reminders are on every plan. Calendly’s Free and Standard plans are hard to beat for personal booking links across a whole company, so it is reasonable to keep Calendly for that and use Captiwate on the website.

How does the pricing compare?

Calendly is per seat: a Free plan, Standard from $10 per seat/month and Teams from $16 per seat/month billed yearly, Enterprise from $15k/year with a 50-seat minimum. Captiwate is per monthly visitor volume: Grow $15,000/year up to 20,000 visitors, Scale $30,000/year up to 100,000, Unlimited custom — with unlimited seats. They solve different problems, so the totals are not like-for-like: Captiwate replaces a chat tool, a visitor-identification tool and a scheduler, not only the link.

Can Captiwate route leads like Calendly’s routing forms?

Yes. Traffic segmenting and automation flows are on every plan; lead routing rules (round robin, account-owner matching) come with Scale and above. Calendly’s routing forms and round robin need the Teams plan or above, and can match known leads to Salesforce or HubSpot account owners.

Does Captiwate identify anonymous visitors?

Yes — company and person-level identification with intent signals is included, with unlimited identified companies. Calendly learns who an invitee is when they fill in the booking form; visitor identification is not listed on its pricing or feature pages.

Do both integrate with HubSpot and Salesforce?

Yes. Captiwate has two-way HubSpot and Salesforce sync on every plan, plus Slack, Microsoft Teams, Google Calendar, Outlook and Zoom. Calendly lists HubSpot from Standard and Salesforce from Teams, and matches known leads to account owners in routing.

Is there a free trial?

Calendly has a permanent Free plan. Captiwate does not offer a trial; we build a demo on your own website so you see real traffic being identified and engaged before you commit, and we cover the move from your current stack.
